📖 16. How to offer USCF membership renewal during event registration


What this feature does

For USCF-rated events, an organizer can allow a player whose USCF membership is expired, or expires before the event ends, to keep registering and choose a USCF membership renewal option during registration.

The selected renewal fee and optional organizer convenience fee are added to the registration balance. The organizer is responsible for completing the actual USCF membership purchase or renewal for the player.

When to use it
  • Use it when your event requires valid USCF membership, but you are willing to renew memberships for players.
  • Use it when you collect entry fees and membership renewal charges together.
  • Do not use it if players must renew directly with US Chess before registering.
Required event settings
  1. Open the event edit page.
  2. Turn on Allow Expired USCF Players to Register USCF Rated Events.
  3. Turn on Offer USCF membership renewal during registration.
  4. Enter the available USCF Membership Options.
  5. Optional: enter a USCF Membership Convenience Fee.
How players see it
  • If the player has a valid USCF membership through the event end date, no renewal option is shown.
  • If the player is expired, or expires before the event ends, they must choose a renewal option before submitting registration.
  • The selected USCF renewal fee is added to the amount due.
  • If you entered a convenience fee, it is also added to the amount due.
How organizers see it
  • The roster shows USCF renewal columns for organizers and tournament directors when the event offers renewals.
  • Each registration stores the selected USCF membership type, the USCF membership fee, and the organizer convenience fee.
  • Use that information to purchase or renew the USCF membership for the player outside NACH.
Important notes
  • This feature collects and records the renewal request and fees. It does not automatically submit the renewal to US Chess.
  • Players still need a matching event entry fee and must complete payment if payment is due on registration.
  • The feature applies to events with USCF rating requirements.
  • If you turn on renewal offering but do not configure any membership options, players will not see a usable renewal choice.
